What are you gonna do as a Team Secretary?

The Team Secretary provides secretarial and administrative support to the Sub-surface manager, Commercial manager and Operations manager and their teams for all aspects of their work, ensuring a smooth and effective running of their day-to-day office duties.

Responsible for all secretarial and administrative duties required such as:

  • Managing telephone calls, correspondence and documentation and provide information on matters relating to the team
  • Managing managers agenda and department; organise and keep update meeting schedules, log invitations, follow up with RSVP’s
  • Handling travel and accommodation arrangements for managers and their teams; where necessary processing reimbursement (prepare and file) expenses in accordance with applicable rules
  • Providing appropriate support to the organisation of meetings and events (video or teleconference facility);
  • Providing assistance to the setting up of electronic and conventional documents management systems for the team (Contact lists, mailing, typing, photocopying, scanning, filing and archiving)
  • Managing documents and/or databases
  • Deputising for other secretaries during absences
  • Providing ad-hoc secretarial and administrative services internally to department /NL staff members and when necessary to other UK/staff
  • Support departmental processes and workflow
  • Performing other related task assigned by the supervisor

Job requirements for a Team Secretary?

  • Good understanding of office organisation and the role and tasks of a secretary
  • Profound knowledge of Microsoft Office (Outlook, Word, Excel, Powerpoint) and SAP
  • Demonstrating responsiveness and flexibility
  • Excellent communication and interpersonal skills
  • Aptitude for teamwork
  • Attention to detail
  • Ability to work under pressure.
  • HBO think and performing level, appropriate secretarial education
  • Several years of experience as (senior) secretary within international dynamic business and/or legal environment
  • Excellent command of English and Dutch both written and spoken
  • Accurate and efficient
